Services Provided
We provide services in the following manner:
Staffing.
We will serve your community from one of our two offices in Hartford or Seymour. We will assign one key staff person, a condominium manager, to coordinate our services. Our manager and his/her support staff will handle all resident service requests for information or assistance. Our manager will visit your community regularly to perform preventive inspections and to supervise work in progress.
Typically, our full staffing for management services are structured as follows: The Property Manager, who will be responsible for the overall management of the community. The Administrative Assistant to the Property Manager will handle all resident service requests for assistance. Accounting staff that includes a General Ledger Accountant, a Trade Accounts Receivable Specialist/ Clerk and a Trade Accounts Payable Specialist/Clerk.
We will supervise and schedule the work of the person performing routine repairs and maintenance. We can, and often do, provide a skilled maintainer from our staff to do this work. However, many of our client communities use their own employees, or properly insured contractors, to perform routine maintenance under our direction. We manage the arrangement that makes the best sense at each community.
Selection and Supervision of Contractors.
We carefully recruit and oversee the work of contractors. We do not impose the use of particular contractors on clients. Although the board controls the selection of contractors, this does not diminish our responsibility to recommend capable contractors and to properly supervise the work of whoever is ultimately retained.
Special Landscape and Construction Assistance.
Our aim is to make good use of all of our senior personnel so that we do the best job as your management staff. Often, that includes the time of our landscape and construction managers.
We operate one of the larger landscape services in Greater Hartford. Our landscape manager is also a professional landscape designer. He advises our client boards on request at no additional cost. Associations often use our recommendations to improve existing landscape practices and to formulate ideas and budgets for improvements.
Similarly, our construction manager periodically assists property managers with analysis of unusual building problems in order to avoid unnecessary engineering services and to help create better bid specifications.
Emergency Service.
We have operated a very responsive, seven-day, twenty-four hour emergency service since we started providing residential management services in 1975. The service is reached through our local office telephone number. Our answering service (We've used the same one since 1980) will contact any of the four key Imagineers employees on call for each community that we serve.
Planning.
We help our clients prepare for future needs. Whether the issue is physical or financial, we feel it is our job to prepare and present the information necessary for the board to make good decisions. At the board's request, we formulate long-range capital reserve plans or recommend modifications to existing plans.
Meetings.
Our condominium manager will attend regular meetings of the board of directors.
Processing Financial and Operating Data. The monthly financial statements are comprised of balance sheets, income statements; month-to-date and year-to-date, with comparisons made to board established budgeted levels, a summary of key financial indicators, along with other data important to our community associations. We also routinely accommodate special monthly reporting requests. Many of our clients require special reports in addition to complete monthly financial statements. We provide monthly financial data in a format that is concise and easy to understand. Considerable effort is placed in assisting communities in the development of annual budgets, and equally as important, the monthly management and analysis of those budgets when compared to actual operating statements. We are capable of performing various functions to meet our customer IT needs. Additionally, we can oversee routine filings on the association's behalf with the Secretary of State's office, and review the adequacy of the association's insurance coverage.
In-Unit Service to Homeowners.
We routinely advise homeowners who ask for assistance in selecting contractors for repairs which are their responsibility under the condominium documents. We are happy to share information which we have on capable plumbers, electricians, etc. If the board wishes for Imagineers to directly perform in-unit work, we can do that and such work can be billed directly to the homeowner. Our relationship with all contractors is professional and appropriate.
